Invoices, credit notes and workshop documents, ready for EU VAT

The ReForge team · updated

In short

In ReForge the invoice, the delivery note and the vehicle handover record are built from what is already in the work order – nothing is typed twice. Invoices follow your country's VAT rate and currency, apply the reverse charge for business customers in other EU countries, and are corrected with credit notes. Your accountant gets their own read-only access and downloads a monthly archive in one go.

Documents come from the work order

Parts, labour, customer and car are already in the work order. Documents are generated from it with the data in place – you don't retype anything into separate invoicing software.

  • Invoice – for businesses and private customers, with every part and labour line listed.
  • Credit note – the lawful way to correct or cancel an issued invoice; it names the invoice it corrects and the reason.
  • Delivery note – for parts and materials handed over.
  • Vehicle handover record – when the car is dropped off and collected.
  • Quote – before the repair, for the customer to approve.

Built for EU VAT rules

  • Your country's standard VAT rate and currency – euro, złoty, koruna, forint, leu, krona or krone – set once in your profile. A shop that isn't VAT registered charges none.
  • Reverse charge for business customers in another EU country: their VAT number is checked in the EU's VIES register, and the invoice shows 0% VAT with the note the law requires.
  • Parts sold and sent to a business in another member state can be invoiced as an exempt intra-Community supply.
  • Every invoice downloads as an EN 16931 e-invoice (UBL XML), the European standard for electronic invoices.
  • Issued invoices can't be edited or deleted – a mistake is fixed with a credit note, as EU VAT law requires.

Edit before printing

Every document opens as a preview first. If you need to change a description or fix a detail, click the text and change it – then print or save a PDF with your shop's logo. Documents print in English, in Bulgarian or in both.

Businesses and private customers

A business customer is saved once with its VAT number and picked from your list next time. For a private customer, the personal details an invoice needs are typed for that invoice only and are not kept on the customer's record.

Your accountant has their own access

Invite your accountant by email. They get read-only access to the documents you've issued – without seeing the rest of the shop and without you sharing your login.

  • Monthly totals at a glance: net amount, VAT and total.
  • One archive per month with the documents as XML, PDF, Excel and CSV.
  • One accountant can look after several shops from one portal.

Why this saves time

In many shops the invoice is written by hand or in a second program after the repair has already been noted down somewhere else. Every retype is a chance for a mistake – a missed part, a wrong price or a wrong VAT number. When the document comes from the work order, the data is the same everywhere: in the car's history, in your reports and with your accountant.

Frequently asked questions

Can I invoice customers in other EU countries?

Yes. For a business with a valid VAT number in another member state, ReForge checks the number in VIES and applies the reverse charge. Private customers are charged your country's VAT.

How do I correct an invoice that has already been issued?

With a credit note. It names the original invoice, the reason and the amount, and takes its number from the same sequence as your invoices.

Which currencies can I invoice in?

Your country's currency: the euro, Polish złoty, Czech koruna, Hungarian forint, Romanian leu, Swedish krona or Danish krone.

Do you support electronic invoices?

Every invoice and credit note can be downloaded as an EN 16931 e-invoice in UBL XML, alongside the PDF.

What does my accountant get?

Read-only access to the issued documents, monthly totals and a downloadable archive in XML, PDF, Excel and CSV.
